Digital Asset Management

FileSphere provides a comprehensive set of functions to effectively manage digital assets such as photos, video, music and potentially any digital document of form considered valuable to an organisation. The system facilitates annotation of assets using metadata, providing effective storage and retrieval functions to reduce asset location times and streamline business processes.

Metadata Based Document Classification
Provides a business layer for classifying assets based on characteristics they have in common. Assets can be classified according to industry specific, business specific or customisable metadata schema relevant to the user and the organisation. This allows assets to convey meaning that is not already conveyed by their name.

Dynamic Document View
Users can dynamically organise their assets into a personalised view based on the user’s metadata selection. This allows users to navigate through a large asset store to find documents quickly.

Drag and Drop Classification
Users can simply drag and drop assets into a folder to automatically classify them. This dramatically reduces the time taken classify assets when compared against most present day solutions.

Enterprise Navigation
By allowing users to dynamically organise their asset hierarchy, they can navigate to assets quickly and no longer need to remember the names of assets or their storage location to find information.

Enterprise Search
Provides comprehensive keyword search functionality within asset metadata values and metadata attributes across the entire asset repository. This allows users to quickly find all assets related to a particular keyword or phrase.

Automated Document Versioning
Asset versions are controlled automatically, with versioning automatically performed when assets are opened for editing (checked out) and returned (checked in).

Document Level Access Control
Similar to Windows, users and group access can be granted/denied to individual assets or groups of assets.

User and Group Access Control
Asset level access can be controlled by assigning groups or users to specified access levels and then assigning access levels to assets. Users can only see assets to which they have access.

Scalability and Performance
FileSphere Enterprise utilises Microsoft Internet Information Services for enhanced web services communications and Oracle or Microsoft SQL Server for enhanced file metadata management to ensure performance and provide scalability for an ever increasing repository of digital assets.
