FileSphere operates by providing a document space, from where users can manage, classify and retrieve emails, documents and files.

A local workspace indicates documents that have been checked out or are being worked on.

The workspace also contains an in tray and an out tray, to facilitate collaboration between FileSphere users.

Intuitive classification

Classification occurs automatically when you add documents to FileSphere because the document's native application properties (metadata) are also transferred.

Examples:

A Word document will bring with it Tile, Subject, Author and Company

An MP3 music file will bring with it Album, Track, Artist, Composer and Genre

An email will bring with it From/To, Cc, Bcc, Date Sent/Received etc.

Further classification can be given to documents using simple drag & drop or easily accessible classification prompts via the document properties in Windows Explorer or when documents are being saved in Microsoft Office applications..

Additional classification is based on business schemas, which can be fully customised to suit the classification requirements of your organisation.

Virtual folders

Instead of storing your documents in a traditional hierarchical folder structure, FileSphere simply uses the document metadata (classification) to group documents into dynamic virtual folders.
 

This approach creates a dynamic environment in which different views of documents can be created, allowing you to arrange, rearrange and view documents according to their metadata and your particular way of working.


These dynamic virtual folders allow documents to learn about their environment:

As you move documents into a virtual folder, they inherit the attributes (metadata) of the folder

The dynamic nature and flexibility of FileSphere's virtual folders allows different users to interact with the same documents in different ways.

Examples:

The Product Development department may view (group) documents by product, model and launch date

The Marketing department may view the same files organised by client and campaign
 

Simple sharing & collaboration

Peer-to-peer document sharing and simple workflow have been incorporated into FileSphere Professional for improved collaboration and efficient file access

Transparent version management together with a fully automated check in / check out provides the perfect working environment for improved productivity in any organisation.

Security
Security is paramount in FileSphere as it protects emails and documents against unauthorised access or accidental deletion and provides a comprehensive audit trail.

Centralised document management
FileSphere Professional can be set up to allow local, central or combined local and central management of emails, documents and files. File sharing is achieved by connection to document spaces of other computers.

Flexible configuration
In small businesses (up to ten users) with a distributed environment, FileSphere Professional can act as both a server and a client. Each user can manage documents locally in their own document space and they can share their documents and access other users' documents by connecting to FileSphere peers.

For businesses requiring centralised management of documents, the FileSphere Enterprise package provides FileSphere Enterprise for performing the server role and FileSphere Professional as the desktop client.
